Send a document
How documents get into beres. This is the whole job for most people on your team.
Choose email or Telegram
There is no website upload form. Send documents to your organization's private document email, or send them in a direct chat with the beres bot on Telegram.
| Channel | How to send | Limits |
|---|---|---|
| Attach or forward PDFs and images to the document email shown under Settings → Channels. Each accepted attachment becomes a separate document. | Up to 20 attachments per email; each attachment up to 20 MB. | |
| Telegram | Open your linked direct chat with the beres bot and send a PDF or photo. No caption or command is needed. | One document per message; up to 10 MB. |
For email setup, privacy, and address controls, see Send documents by email.
What happens in Telegram
The bot replies "📥 Received. You can send the next document." and says nothing more. That single reply is the confirmation — send the next one.
The bot only speaks again if something goes wrong: if the document cannot be read at all, it comes back with "⚠️ Sorry — I couldn't read that document. Please send it again…". Send it again, ideally as a clearer photo or the original PDF.
Results are not reported in the chat. Whether a document sailed through or needs a person to look at it, you'll see that in the Inbox — see Review a document.
What you can send
| File types | PDF, PNG, JPEG, WebP |
| Size limit | Email: 20 MB per attachment. Telegram: 10 MB per document. |
| Multi-page documents | Send one PDF or separate photos. beres automatically detects when separate uploads belong to the same multi-page document and combines them. Manual merge or unmerge is only needed when it gets that wrong. |
Getting good results from photos
The extraction is only as good as what it can see.
- Lay the document flat and shoot straight down, not at an angle.
- Get the whole document in frame — a cut-off total or supplier name cannot be recovered.
- Watch for glare on glossy thermal paper; shoot away from overhead lights.
- Prefer the original PDF when you have one. A supplier's emailed PDF always beats a photo of the printout.
Bot replies that mean something went wrong
| Reply | What to do |
|---|---|
| "This chat isn't linked to an organization yet. Open your org's connect link first." | Your chat was never linked, or was removed. Ask your admin for a connect link — see Connect Telegram. |
| "Send an order document (PDF or photo)." | You sent text, a sticker, or something that isn't a file. |
| "⚠️ That file is too large. Please send a PDF or image under 10 MB." | Re-save the PDF at lower quality, or photograph pages separately. |
| "⚠️ Unsupported file type. Please send a PDF, PNG, JPEG, or WebP image." | Word documents, Excel files, and HEIC photos are not supported. Convert to PDF or JPEG. |
| "⚠️ I couldn't download that file — please send it again." | A network blip between beres and Telegram. Send it again. |
| "⚠️ Sorry — I couldn't read that document. Please send it again…" | The document was received but extraction failed after retries. Re-send a clearer photo or the original PDF. |
| "⚠️ Your organization has reached its monthly document limit …" | Your plan's allowance is used up. Your admin needs to upgrade — see Billing and plans. |
One quirk worth knowing
If you send a WebP image as a file rather than as a photo, Telegram may not tell beres what type it is, and it gets rejected as unsupported. Send it as a photo, or convert it to PNG or JPEG.
Nothing came back at all
No reply at all — not even "📥 Received" — means the document never reached beres. See I sent a document and nothing came back.
What happens next
Documents sent by either route appear in beres. Use Inbox for items needing attention and Documents for the full list. beres automatically combines separate uploads it determines are pages of the same multi-page document. Review items when needed, or let ready documents continue automatically when direct API delivery is enabled. See Review a document.
