Send documents by email
Every organization has a private document email. Send or forward attachments there and beres adds each accepted file to that organization's document list.
Find and share the address
- As an admin, open Settings → Channels.
- Under Email, click Copy.
- Share the address only with people and systems allowed to add documents to this organization.
Senders do not need a beres login. Anyone who knows the address can add documents, so treat it like a private upload link rather than a public mailbox.
Send an email
Create or forward an email to the document address and attach the files. The message text is not a document; supported attachments are.
| Rule | What beres accepts |
|---|---|
| File types | PDF, PNG, JPEG, and WebP. |
| Attachment size | Up to 20 MB per file. |
| Attachments per email | Up to 20. Each accepted attachment becomes its own document. |
| Not accepted | Inline signature images, empty files, password-protected PDFs, and unsupported file types. |
A multi-page PDF stays one document. When photos arrive separately, beres automatically detects which uploads belong to the same multi-page document and combines them. Use the manual controls only if beres misses or incorrectly makes a merge.
Find what arrived
Accepted attachments appear in Documents with Email as the source channel. Items needing a person also appear in Inbox. An email with several attachments may contain both accepted and rejected files, so use Documents to confirm that every expected file arrived.
Pause or replace the address
Admins manage the document email under Settings → Channels.
- Pause stops the current address from accepting email. Resume makes the same address active again.
- Rotate address creates a new address and immediately revokes the old one. Update forwarding rules and anyone who still sends to it.
If the address was shared too widely or appears in an unexpected place, rotate it.
Email or Telegram?
Email is useful for supplier mailboxes, forwarding rules, and messages with several attachments. Telegram is useful when staff photograph or receive documents on their phones. Both routes feed the same organization workflow.
