What is manual invoice key in costing your team?

Estimate the monthly hours and staff value tied up in repetitive supplier-invoice entry. Use the result to decide whether the workflow is worth changing.

The automation estimate assumes 70% of current manual key-in time can be redirected. This is illustrative, not a guaranteed result. Actual outcomes depend on document quality, master data, exceptions and review policy.

Count the whole workflow.

Collection

Include time downloading email attachments, collecting phone photos and asking staff to resend missing pages.

Data entry

Include supplier lookup, invoice fields, line-item typing and stock or GL code selection.

Correction

Include fixing totals, duplicate entries, wrong codes and rejected imports before month end.

Turn the estimate into a measured baseline.

  1. Sample at least 30 representative supplier documents.
  2. Record collection, key-in, checking and posting time separately.
  3. Note how many documents need supplier or code correction.
  4. Run the same sample through an automation pilot.
  5. Compare total human time and error correction—not OCR speed alone.
