What the document statuses mean
Every document carries one status badge. This page explains all of them, plus the three things that look like statuses but aren't.
The statuses

| Received | Stored, not picked up for reading yet. | Nothing. It moves on within moments. |
| Processing | Being read right now. | Nothing. Wait. |
| Extracted | Read cleanly. Everything matched your master data. | Nothing required. Include it in an export when you're ready. |
| Needs review | Read, but something needs a person — an unmatched item, a missing quantity, a total that doesn't add up. | Open it in the review workspace and fix the flagged fields. |
| Blocked | Something essential is missing or unmatched, most often the supplier. Cannot be exported until fixed. | Open it and supply the missing code. |
| Failed | The document could not be read. Often the file itself — a blurred photo, an unreadable scan. | On a paid plan, use Retry (twice per document). On Free, send the document again. |
| Invalid | Someone reported this document as unusable and support confirmed it. Final state. | Nothing. It no longer counts against your monthly allowance. |
Needs review and Blocked are the two you act on. Both appear in your Inbox under Needs review.
The difference: a Needs review document can still be exported (beres will use its best reading), while a Blocked document cannot — it is left out of any export file you generate.
Three things that are not statuses
Processed
Separate from status. Processed means the document has reached your accounting system.
- On file targets, you tick it yourself — or it ticks automatically when you generate an export file containing that document.
- On API-push targets, it ticks automatically when the push succeeds.
A document can be Extracted but not Processed — read fine, not yet in your books. That combination is exactly what your Inbox's Needs review / Recently processed split is showing you.
Duplicate
An outline Duplicate badge with the tooltip "Same invoice no. + party as an earlier document".
It is a warning only — it blocks nothing, and export and push proceed normally. It is also off by default. See Duplicate alerts.
Warning icon
Some export targets have their own requirements that are not document problems. ARAP, for example, shows a Needs accounts warning when lines have no GL account yet. These appear as a warning icon with a tooltip, never as a status, and they never block the document — but they may block the export. See Export to your accounting system.
Where to see them
- Inbox (
/inbox) — the two lists that matter today: Needs review and Recently processed. - Documents (
/documents) — everything, with filters. The Home page (/dashboard) and its Blocked / Needs review / Processed cards link straight into the matching filter.
